"Official" Project Questionnaire

Once a proposed project has been adopted by the Project Team, they will ask the POC to fill out the following questionnaire. I am posting it here for general review.

Description of project: (Describe project. Use enough detail that a complete stranger could understand what you are trying to accomplish and how it will benefit AVEN, but make the description short enough for easy reference.)

Resources required:

Funding: (estimate how much this will cost AVEN, if anything. NOTE: By accepting your project proposal AVEN does not guarantee funding for your project. Keep in mind you may also have to suggest a means of raising funds for your project.)

Material: (any materials that will need to be purchased or provided by an AVENite. Also list materials you intend to provide.)

Human resources: (how many people you need to assist with the project, what skills you are looking for)

Outside agencies: (Any agencies or entities outside of AVEN that will contribute to the project. This can include printing services, media stations/publications you hope to work with, universities for studies, websites used as references or websites you intend to contact, etc. – anybody outside AVEN who you will make contact with or whose assistance will be used.)

Timeline:

(Please include a timeline, with dates, specifying major milestones in completing your project along with an expected completion date. For ongoing projects such as AVENues, list projected publication dates.)

Other Requirements:

(List any other requirements for this project not addressed above)

Project Status:

(Use this space to keep people updated on the status of the projects. This does not need to be in great detail; simply describe how far you are towards meeting your timeline goals, what you are currently working on, any snafus, etc.)

Discussion threads:

(List the threads in which you discuss the details of your project. You can have as many discussion threads as you like. You can list the threads several ways. If you just want to include the url, simply go to the page with your thread, copy the url from the address bar, and paste it between

……and…….

INSTRUCTIONS FOR NEW PROJECT QUESTIONNAIRE:

1. Fill out the questionnaire. The information has two purposes: 1) so other AVENites can read about your project and help out if they want to, and 2) so Project Team moderators can monitor your progress and keep track of the various projects underway. This information is not set in stone; we only ask for honest estimates. We all know that funding requirements change, timelines get crunched, projects develop in unexpected directions, hurdles raise their ugly heads. All we ask is that you have a basic plan to complete your project.

2. Open a “New Topic” in the PT Forum and post the filled out questionnaire. By posting the questionnaire under your username, you are agreeing to be the POC for this project. Posting under your username will also allow you to edit the post even after it is locked.

3. IMMEDIATELY send a private message the PT Forum moderator who has been assigned to your project (the one who sent you the questionnaire). In the PM include the url to your new thread. This moderator will lock the thread. This thread is not a discussion thread, it is an informational thread. If you want to start a new discussion thread, feel free to do so and simply add it to your “Discussion Threads” list. The PT Forum moderator will also add your project to the Master List at this time.

4. It is your responsibility to keep this information updated as goals are met, timelines modified, new threads started, etc. New people cannot take interest in your project and help you out if they can’t find the threads discussing your project. If you are working on the project alone, please post updates about your progress. Failure to update this thread on a reasonably regular basis will result in the PT Forum moderators either assigning a new POC or cancelling your project. The intent of the PT Forum moderators is to give the POC as much control of hir project as possible, but we are responsible for ensuring that each project is managed appropriately and must be kept informed.

5. Once your information thread has been locked, remove the warning "PLEASE DO NOT POST COMMENTS IN THIS THREAD" as that will no longer be an issue.

6. You are ready to start working on your project. If you have any questions or need outside assistance, contact the PT mod assigned to your project. If you spend any money that you expect AVEN to reimburse, you MUST have prior approval from your PT mod.

7. DO NOT release your completed project to AVEN or the world at large without getting prior approval from the Project Team. Any unauthorized releases will be denied AVEN sponsorship; the project, if still deemed useful to AVEN, will be handed over to a new POC.

8. If in doubt contact your assigned PT moderator!!!!
